How to switch veterinary practice management software without downtime

Switching practice-management software feels risky because your whole clinic runs on it. It does not have to mean downtime. With a staged plan — import, parallel run, then cut over — most clinics move in a weekend. Here is the playbook we walk new Activet clinics through.

1. Export and inventory your current data

Start by listing what actually has to come across: clients, patients, appointment history, medical records, invoices, and inventory. Most legacy systems export to CSV; ask your current vendor for a full data export in writing early, because that request is sometimes the slowest step.

Decide what is “must migrate” versus “archive”. Years of itemised invoice lines rarely need to live in the new system — a PDF archive is enough — while active client and patient records always do.

2. Import into a staging workspace first

Activet includes a CSV import wizard for clients, patients, and products, so you can load a copy of your data and check it before anyone relies on it. Run the import, then spot-check 20–30 records against the old system: names, species, balances, and vaccine due-dates are the usual trouble spots.

3. Train staff on the real workflows

Train by workflow, not by feature tour. Have the front desk book an appointment, check a patient in, and take a payment. Have a vet write a SOAP encounter and a prescription. When the people who use it daily have done each task once on real-looking data, go-live anxiety drops sharply.

4. Parallel-run for a few days, then cut over

For a short window, keep the old system read-only for history while new activity goes into Activet. Pick a quiet day to cut over fully. Because Activet is cloud-based, there is nothing to install on each machine — staff just log in — which removes most of the classic go-live friction.
